Job Description – Accounts and Administration Manager


We’re seeking an experienced and enthusiastic Accounts and Administration Manager to join our thriving team. The important, hands on, role is critical to the success of this exciting PR and Marketing consultancy and an integral part of the team. The person we are looking for will be ambitious, results driven and always seeking to develop their skills and processes. Experience of Xero, VAT, payroll and AAT Level 3 qualified or equivalent is desired. The role is 15 hours per week.

Main Duties

  • Processing books in Xero
  • Managing payroll and submitting monthly reports to HMRC
  • Preparing VAT returns
  • Management accounts reporting
  • Preparing, issuing and tracking of sales invoices
  • Chasing debtors and preparing debtors summary
  • Payment of supplier invoices
  • Reconciling bank accounts
  • Working with the team to support fee earning
  • Working with the team to ensure all costs are signed off and invoiced correctly
  • Working with the Media Buying department
  • Suggesting and setting up efficient processes
  • HR record keeping including employment contracts, holiday, sickness, absence, starters and leavers
  • Health and Safety policy and record keeping including fire risk and operational risks
  • Liaising with the external accountants on year end accounts
  • Board secretariat work including agenda, preparation of financials, forecasting report, risk register and action points
  • Analysing and providing detailed information and recommendations to aid decision making
  • Undertaking administration to support the efficient running of the business
